SmartCabinet® 5.0 is our most extensive and comprehensive release to date and
continues to expose and build upon key functionality and deliverables of the Oracle
Content Server. Conservative estimates identify there has been at least 7,500 hours into
this release which includes the gathering of business requirements, design, development,
and testing. Our goal remains simple; "to be your transparent and seamless one source
provider of leading edge content management services, allowing you to affordably and
efficiently capture, access, manage, and store the content you use to run your business."

- Case#: 208087749 (Enhancement: 5-054) – Under "Administration: Manage Metadata: Additional Metadata" the action item "Add Metadata" now gives you the option to choose between three Metadata Types: "Text", "Date" or "Integer". In the past all metadata types were created as "Text" and with the set limit to create thirty Additional Metadata fields. Now the default will only be twenty Additional Metadata fields with metadata type "Text", five Additional Metadata fields with metadata type "Date", and five Additional Metadata fields with metadata type "Integer" that can be created. The additional metadata types allow for a structured format and give additional options when searching on the metadata.
- Case#: 208111422 (Enhancement: 5-055) –The ability to "Download Spreadsheet" items over the SpreadSheetMax limit has been added. In the past the ability to Download Spreadsheet items over the SpreadSheetMax (10000) limit without contacting DocClarity wasn't possible. Any report/query that comes back with more than SpreadSheetMax items, the items above SpreadSheetMax cannot be downloaded to a spreadsheet. In the past the max to download to spreadsheet for search results was 200 items per page and there wasn't a limit on the number of items that could be downloaded but the Download Spreadsheet had to be run on each page.
- Case#: 208111845 (Enhancement: 5-075) – "Folder & Content Path Length" report has been added to "Reports: Folder Reports" accessible only to 'admin' users. There are four options for this report; "Web Viewable Path Length, Web Viewable Path Length Spreadsheet, Native Path Length and Native Path Length Spreadsheet". The report generates a list of content that have a folder path and title character count (length) for all content that is greater than 199 characters. Content with a folder path and title length greater than 199 characters will make it difficult to download files from a "Folder Backup" or "Local Folders" using the ftp site. This limit is due to Microsoft only allowing a maximum length of 255 characters for the folder path, file title and file extension. Any folder and file path over 255 characters cannot be downloaded (copied) via ftp or any Microsoft environment. The action item "Folder & Content Path Length" also has been added under "Administration: Manage Content: Archiver: Folder Backup" as a check to see if any folder and file paths are over 199 characters exist for the Folder Backup.
- Case#: 76040277 (Enhancement: 5-074) – The configuration setting "scCancelDateNotificationDelete" has been added to SmartCabinet. Under "Content Information: Content Actions:" the action item "Cancel Future Date Notifications" will appear, if the configuration setting is enabled (configuration setting "scCancelDateNotification" must also be enabled), the content item is not "Locked" and the Content Item has a pending future date notification. When selecting the "Cancel Future Date Notifications" action item it will cancel all future pending date notifications and enter into "Content History" the content action "Canceled future Date Notification(s)." It will also remove all Date Notification metadata field values. This is similar to Enhancement: 5-073 but does not remove Date Notification metadata field values.

- Case#: 208048454 (Enhancement: 5-070) – Under "Search: Search Results" the action item "Download Spreadsheet" has been updated to populate the spreadsheet with the metadata columns listed for each view "Headline View - (Title, Folder, Date On Content, Content Creator)," "Custom View – (Title, Folder, CustomSetting1, CustomSetting2, CustomSetting3)," and even customized views. This change will replace the fixed population of the metadata fields "Title, Checked In By, Folder, Date On Content, Content Type, Subtype". Customize your view to create the metadata options to your liking.
- Case#: 76040277 (Enhancement: 5-073) – The configuration setting "scCancelDateNotification" has been added to SmartCabinet. Under "Content Information: Content Actions:" the action item "Cancel Future Date Notifications" will appear, if the configuration setting is enabled, the content item is not "Locked" and the Content Item has a pending future date notification. When selecting the "Cancel Future Date Notifications" action item it will cancel all future pending date notifications and enter into "Content History" the content action "Canceled future Date Notification(s)." It will not change any of the Date Notification metadata field values.
- Case #: 208105209 (Bug) – Under "Administration: Manage Users: Users: Copy Permissions" when selecting the next page options, the error "Unable to execute service SC_GET_COPY_USER_PERMISSIONS and function qRows.
(System Error: Could not find the parameter 'gName'?) has been fixed.

- Case#: 208097675 (Enhancement: 5-063) – Under "Browse Content: Folders: Folder Information" the action item "Folder History" has been added. The new action item will list the Folder History actions "New Folder", "Copy", "Move", "Update", "Trash", "Restore" along with the Action Date and Action Performed By. In addition, the actions "Copy" and "Move" will generate a link, giving additional information about each action, as long as the referenced folder has not been deleted. The "Copy" link will show the folder path to the location that the folder was copied. The "Move" link will show the folder path for the location that the folder was moved from and to.
- Case#: 208048653 (Enhancement: 5-064) – Under "Administration: Manage Users: Users" the action item "Email Users" has been added. The user type "admin" and "user-admin" have the ability to select users and click the action item "Email Users" which in turn will open a new mail message in your local email client with the email address(es) populated in the To: field.
- Case #: 208101652 (Bug) – The renaming of a folder, when executing a folder "Update" under "Browser Content: Folders: Folder Information," was not holding the new folder name has been fixed.

- Case#: 208096354 (Enhancement: 5-062) – Additional email notifications have been add to notify the "Checked In By" user and the "SysadminAddress(Email address from Client for the SmartCabinet Instance)" when a content item contains a "Zero Byte File", has a "CVision OCR/Compression Failure", has a "File Extension/Type Unknown", or has the "File Extension Missing". SmartCabinet will run a query once nightly to check if any content matches the criteria above. All content that matches the criteria will generate a notification for each content item and send an email to the appropriate email addresses, as mentioned above. Additionally all content that matches the above criteria will be added to the "Content Management: Work In Progress" list if it has not already been added.
- Case#: 208097466 (Enhancement: 5-061) – Under "Administration: Manage Users: Users" the action item "Download Spreadsheet" and "Print View" has been added.
- Case#: 208096358 (Enhancement: 5-058) – Under "Administration: Manage Users: Users: View User Permissions" and "Administration: Manage Users: Security: View User Permissions" the action item "Read Only – Select All", "Full Access – Select All" and "Admin Access – Select All" has been added when appropriate. This function allows an admin user to change the radio button selection to "Read Only", "Full Access" or "Admin Access" for all permissions on the page with one click.
- Case#: 208095771 (Enhancement: 5-057) – Under "Administration: Manage Users: Users: Add/Edit User" the ability to select/change the "User Personalization Settings" for a user has been added.
- Case #: 208097460 (Bug) – "Administration: Content Types: Manage Subtypes: Assign to Content: Search Results" showing unexpected Folder locations has been fixed.
- Case #: 208095930 (Bug) – The error: "The page cannot be found" when clicking on the "Title:" link inside of a "Check In Notification" email is a result of the notification sent before the content item is in a released state. Additional code has been added to double check that a notification is only sent after the document is in a released state.

- Case#: 208094972 (Enhancement: 5-056) – Under "Administration: Manage Metadata: Additional Metadata" when adding or editing a Metadata Name, two check box fields were added, which gives the option to enable an option list. The two check box fields are "Enable Option List – Choice" (which enables an option list for the metadata field and forces a user to choose a value from the option list) and "Enable Option List – Edit" (which enables an option list for the metadata field; giving the user the option to choose a value from the option list or enter a different value). After an option list is enabled for a Metadata Name, the drop down Action item "Edit Option List" appears for the Metadata Name, giving the ability to generate an option list.
- Case #: 208095563 (Bug) – The error: "You have encountered a Collection Load Error. Please contact SmartCabinet Support via email at smartcabinetsupport@docclarity.com. [ Details ]
collections.CollectionCompassAdmin.loadCollectionsInCollectionCustom(CollectionCompassAdmin.java:59" appeared when selecting "Browse Content: Folders" if the user had permissions to a first level folder that was delete into the "Trash" has been fixed.

- Case #: 208087399 (Enhancement: 5-051) – The configuration setting "StartupPageDefault" was created; allowing a default "Start Up Page" that will be assigned when adding a new user. The default options are "Search_Page, New_Check_In_Page, My_Profile_Page, My_Quick_Folders_Page, Folders_Page, My_Workflow_Assignments_Page, Quick_Search_Page, My_Checked_Out_Content_Page, My_New_Content_Page, Folder_Metadata_Form_Page"
- Case #: 208090530 (Enhancement: 5-052) – Under "Administration: Manage Content: Archiver" when adding a new Archive a check box was added "Archive Folder Structure", giving the option to archive the folder structure along with the content. Archiving the folder structure is necessary to allow for the importing of content if the folder structure changes or is deleted. This enhancement replaces enhancement: 5-049.
- Case #: 208090535 (Enhancement: 5-053) - Under "Browse Content: Trash" the number of folder and content items that will be listed is restricted to 250 items. This limit by no means limits the number of items that can be in the trash at one time, it only limits the number of items listed in the trash. The "item in listing" count at the top of the page shows the total count of items in the Trash. To see items not listed in the Trash when the number of items exceeds the 250 limit, the items listed must be deleted or restored.

- Case #: 208082435 (Enhancement: 5-047) – A change to when Date Notifications are triggered has been made. Now, Date Notifications will only send notifications for the latest revision of a content item instead of sending date notifications for all (older) revisions.
- Case #: 208083994 (Enhancement: 5-048) – The drop down action item "Workflow Token Users" has been added to the "Content Information" page for admin users and will show up when the content item is in a workflow state to show if any tokens are assigned to the workflow and what users are assigned to the tokens.
- Case #: 208083996 (Enhancement: 5-049) – When exporting an Archive, the file "CollectionArchive.hda" will be saved with the archive. The "CollectionArchive.hda" file contains the Folder Name and metadata tied to the Folder. This metadata along with the content metadata in the archive can be mapped together to recreate the folder and content structure of SmartCabinet.
- Case #: 208083992 (Bug) – The error: "Unable to execute service SC_WORKFLOW_APPROVE_ADMIN and function scWfCheckExit. (System Error: The service method 'scWfCheckExit' is not defined)" appeared when selecting action item "Admin Approve" under "Active Workflows – All Workflow Content Items" has been fixed.

- Case #: 208073132 (Enhancement: 5-033) – The drop down action item "Download" has been added to the "Browse Content" page giving the ability to multi-select content (the multi-select will only download the content even though you can select the folders) and download it locally (this works similar to the Download action on the Search page) . This action item does not appear unless Allow Multiple Select is selected for the user and the user has the correct permissions.
- Case #: 76077443 (Enhancement: 5-028) – The drop down action item "Copy Multiple" has been added to the "Browse Content" page to allow the ability to copy the selected content or folder to multiple locations. The same limitations that apply to "Copy" apply to "Copy Multiple".
- Case #: 208071263 (Bug) – Some users were receiving nightly email notifications in a text format with html code as part of the email body, resulting what looked like gibberish. The issue affected users that existed in SmartCabinet 4.5 or earlier and have not saved their profile in SmartCabinet 5.0. The SmartCabinet code should have set the pre-SmartCabinet 5.0 user(s) email format to the "New User Settings - Email Format For New User Access" default but under Nightly Notifications there was a bug setting the email format to "text" (which it should always be set to "html" for Nightly Notifications due to the inability to create a clean email format using a text formatted email). The code has been fixed and Nightly notifications will be sent out in html format no matter what the user has selected as the email format for their profile.

- Case #: 208048656 (Enhancement: 5-015) – A check box "Nightly Notifications" has been added to "My Profile" which gives the user the capability to decide if they want to receive notifications once a day or receive the notification when the notification is triggered. Checking the "Nightly Notifications" check box and saving, will assign the user to receive notifications once daily. When adding a "New User" the default for "Nightly Notifications" will be "checked" if the configuration setting for DailyNotifications is set to "true" and "unchecked" if the configuration setting for DailyNotifications is set to "false."
- Case #: 208068337 (Enhancement: 5-030) – Under "Administration: Manage Users: Users" the action item "Copy Permissions" was added under the individual user's actions, for "admin" user types only. This allows for an admin user to copy the user permissions to another user(s). If the number of permissions copied plus the number of permissions the user already has exceeds the permissions limit, no permissions will be copied. If the individual permission already exists but has permission level lower than the copied permission the permission will be updated to the higher permission unless the user type does not allow the higher permission. If the permissions are copied from a user-admin or content-admin to a user and the user-admin or content-admin has admin rights the permission level will be changed to the default permission level setting set in system settings.
- Case #: 208068334 (Enhancement: 5-029) – Under "Administration: Manage Users: Users" the action item "Add Similar" was added under the individual user's actions for Admin users only. This allows for an admin user to add a new user with the same permissions (individual and security group) as the selected user. If the permissions are copied from a user-admin or content-admin to a user and the user-admin or content-admin has admin rights the permission level will be changed to the default permission level setting set in system settings.
- Case #: 20041736 (Enhancement: 5-011) – The action item "Import Folder Metadata" has been added to Browse Content , for "admin" user types only, to import Folder Metadata using a spreadsheet.
- Case #: 20047170 (Enhancement: 5-010) – The action item "Import Folders" has been added to Browse Content, for "admin" user types only, to import Folders using a spreadsheet.
- Case #: 208067098 (Enhancement: 5-040) – Under "Browser Content" and the top most folder, the action item: "Rename Folders" has been added for "admin" user types only. By selecting this action item it will bring you to a page where you can add the Folder Name of the folder you would like to rename and the new Folder Name that you would like to change it to. Once that is complete go to the action item: "Select Folders". This will bring back a selectable list of all the Folders with the name you entered on the previous page. Select the folders you want to rename and select the action item "Save" to complete the renaming of the Folders selected.
- Case #: 208067092 (Enhancement: 5-035) – A check box "Rename All Folders with identical name" has been added to the "Update Folder" page under the Folder Name, for "admin" user types only. By selecting the check box when renaming the current folder it will rename all folders that have the same name as the current folder.
- Case #: 208066534 (Enhancement: 5-032) – "My Quick Folders" under "My SmartCabinet" has been added, which gives the ability to create shortcuts to Folders under Browse Content. Also, "My_Quick_Folders_Page" has been added to the Startup Page list under My Profile.
- Case #: 208066618 (Enhancement: 5-024) – Under "Administration" - "Manage Users" - "External Emails" the ability to add the external emails has been added. Under "Administration" - "Notification Groups" and the "Actions" for the individual notifications there are two new actions "Assign Notification Group Emails" and "View Notification Group Emails" for managing the external emails in the Notification Groups.
- Case #: 208069190 (Enhancement: 5-042) – Under "Reports: Group Reports" the report Notification Groups - External Emails has been added. This is similar to the "Notification Groups - Users" report except this report shows the notification groups that All External 3 Emails or the selected Email is assigned to along with the permissions of the notification group. Only users with user type "admin" can run this report.
- Case #: 208069195 (Enhancement: 5-044) – Under "Reports: Group Reports: Notification Groups - Folders" the ability to include subfolders (check box added) as part of the Folder browse has been added. This will allow an easier way to generate a report to see the notifications that are assigned to a given folder and subfolders if necessary.
- Case #: 208069192 (Enhancement: 5-043) – Under "Reports: Content Reports" the report "Email Notifications - External" has been added. All users can access this report which generates a list of the external emails that are assigned to an individual content notification and what the notification is set on.
- Case #: 208068340 (Enhancement: 5-041) – In "Content Information" under "Content Actions" the action item "External Notifications" has been added. This opens a page to add/edit/delete external emails and assigns notifications based off of the specific actions.

- Case #: 208050098 (Enhancement) – Three new Batch Load features added: Upload Files, Uploaded Files and File Content Information. Upload Files feature can be used to perform multiple file uploads to the Batch Folder within the SmartCabinet application instead of having to use an ftp client. The Upload Files feature requires the Adobe Flash Player 9 or newer. The Uploaded Files feature generates a list of all the files that are uploaded to the Batch Folder and give the capability to delete the file. The File Content Information feature adds the ability execute a batch that will Check In the file to multiple folder locations and change the standard metadata for each file.
- Case #: 208052939 (Enhancement) – The ability to "Add Users" using a batch process has been added. Using a spreadsheet template an "admin" user will have the ability to import/add several users at once.
- Case #: 208052950 (Enhancement) – The ability to email/send multiple users their login information at the same time or reset several user passwords at the same time has been added. The "admin" user now has the ability to multi-select users then email the user login information (username and password) or reset the user passwords.
- Case #: 208052459 (Enhancement) – When selecting a link (http email link, browser favorite, etc.) for SmartCabinet without already being authenticated to SmartCabinet will now redirect the user, after authentication, to the selected link instead of the users home page.
- Case #: 208052454 (Enhancement) – Welcome (User First Name - User Last Name) has been added to display on every page just above the SmartCabinet logo.
- Case #: 208050197 (Enhancement) – Print View was added to Search Results.
- Case #: 208050057 (Enhancement) – The Configuration setting "NotificationSubject" has been added, allowing clients the flexibility to choose between "Content Title" (dDocTitle) or "Folder Path" (collectionPath) to be a part of the email notification subject for Content Action email notifications.
- Case #: 208050204 (Bug) – Security Group - Users and Permissions Report results showing unexpected Security Groups due to no permissions assigned to the Security Groups has been fixed.

- Case #: 76081717 (Enhancement) – The ability to assign only a type/subtype (no need to assign Folders) to a Notification Group has been added to Notification Groups. There are two additional actions for Notification Groups: "Add Type and Subtype for All Folders" and "Manage Type and Subtype for All Folders" to manage this new feature.
- Case #: 208045464 (Enhancement) – Added the internal configuration settings: "BrowseContentSortField" default: "dInDate(Release Date)" and "BrowseContentSortOrder" default: "desc". These two configuration settings set the default sort field and sort order for the "Browse Content" page.
- Case #: 208045263 (Enhancement) – Added the Oracle Multi-Sort Component to the Expended Search Form and the Query Builder Search Form. This component will enable the search page to sort the search results by multiple fields. For example, it can sort the list first by title, than by release date for content with the same title. Add additional metadata to the Default Sort Field: on the User Profile page.
- Case #: 208045377 (Enhancement) – The time stamp for "Date On Content" has been removed.
- Case #: 208044528 (Enhancement) – Incomplete Conversion of Converting Microsoft Office Files to PDF. If a Microsoft Office file was converted to a PDF file successfully, but one or more links in the file could not be converted to links in the PDF file, the conversion status of that file is set to Incomplete. The refinery configuration setting AllowSkippedHyperlinkToCauseIncomplete=false was added to prevent this from happening.
- Case #: 76076966 (Bug) – If a metadata field has an option list value with a space in it (i.e. "Option 1", "Option 2", etc) and a "Matches" search operator is used when performing an advanced search, the appropriate search results are not returned. If the same search is performed instead using a "Substring" search operator, the proper results are returned. This issue is affecting both standard searches and content profile searches. Cause: In Content Server 10gR3, the search style was changed to an "Internet" based syntax. In order for the Content Server to process the search queries correctly, double quotes (i.e. ") are automatically placed around metadata options list values selected from their pull-down menus. It is these double quotes that cause inaccurate search results to be returned. Added the latest 10gR3 CoreUpdate Bundle component to fix the issue.
- Case #: 208047515 (Bug) – The Download Spreadsheet and Print View actions for the "User Actions and Details - Content: User Actions and Details - Content Details" report did not have the correct service assigned and caused a service request error. The correct service has been created fixing the Download Spreadsheet and Print View errors.
- Case #: 76084488 (Bug) – The user types: "user", "content-admin", and "user-admin" sort order corrected for Folder names underneath the Browse Content tray as well as any folder browse pop up window.
- Case #: 208049323 (Bug) – A Workflow with a Step Type: "Review/New Revision" is not updating the selected "RoutingToken" metadata user(s) on a Revision Check In causing the Workflow to skip a Step has been fixed.

- Case #: 76079865 (Enhancement) – Added the feature to display the sum/count of all the content items directly underneath/inside a folder. The Content Count number represents all Content directly underneath/inside a Folder that is in a "Release State".
- The definition of Released State: The content revision is available in SmartCabinet for all users; given the user has permissions to the Folder location.
- Examples of content revision not in a Released State: Workflow Content, Content with Release Date in the future, Content that has Expired, Deleted Content, Content converting to web viewable, Old Content Revisions.
- In a very small number of cases, for specific user(s), the Content number may not match the number of content that a user sees directly underneath a Folder.
- One reason is due to the fact that the user "Checked In" a file with a Release Date that is in the future, meaning the content has not been release to all users; given the user has permissions to the Folder location.
- Another reason is due to the fact the Content Count has not been recalculated yet. Once an Action triggers a change in the Content Count for a Folder it will take a maximum of five minutes for the Content Count to recalculate the correct Content Count.
- Case #: 76083857 (Enhancement) – Added security to the Work In Progress page. Users will only see the content in which they have permissions.
- Case #: ######## (Enhancement) – Add the ability to make Content Creator Required or Optional via the System Settings page.
- Case #: 76084488 (Bug) – Changed the sort by field for the Startup Page when selecting "My New Content Page" from "dDocName" to "dInDate"( Release Date).

- Case #: 76078419 (Enhancement) – The functionality to add multiple types and subtypes for a folder location to a Notification Group has been added. In "Administration" for "Notification Groups" under "View Type and Subtype for Notification Group" a couple things have changed. The "actions" for an assigned Folder are now "Add" "Edit" and "Delete". When you assign a Folder to the Notification Group the default type and subtype is blank (null). For the most part the "Actions" are self explanatory, except if you try to delete an assigned Folder with a blank type and subtype. This is the default assignment (blank type and subtype) and will never be removed from the "View Type and Subtype for Notification Group" as long as the specified Folder is assigned.
- Case #: 76078820 (Enhancement) – Auto complete for the password fields have been removed on the Add User, Edit User and Profile page to eliminate confusion. In Firefox and IE there is an option to "Remember" your password when entering a "User Name" and "Password". If you select to remember the password than anytime there is a page with that user name and password, it will auto complete the password field.
- Case #: 76073603 (Bug Fix) – Default "Browse Content" sort order. Core Content Server is over riding the custom code that should sort it by Release Date. Updated code to make sure it is sorted by Release Date in descending order.

- Case #: 76074693 (Enhancement) – Added "Group Search Results By" option to the Search Results Page. Gives the capability to select a metadata field that pops up a new window with the metadata field grouped in similar categories. For each category there is a link that refreshes the Search Results page with appropriate results. The maximum number of content items that "Group Search Results By" will process for grouping is 10000.
- Case #: ######## (Reference Case#: 76074692) (Enhancement) – Added the internal configuration settings: "LmDefaultView" default: "scslim" and "DefaultSearchResultListTemplate" default: "SearchResultsScHeadline". When adding a new user this will set the Browse Folder/Content View and Search Results View to "Custom View."
- Case #: 76074074 (Enhancement) – Added the functionality for Notification Groups when assigning "type" and "subtype" where the subtype field is optional.
- Case #: ######## (Enhancement) – Added "About SmartCabinet" under "My SmartCabinet" This references the latest version of SmartCabinet installed and the notes that go with the changes of the current version plus past versions.

The following items represent some of the major new enhancements and features. All enhancements will be provided at no additional charge:
- Multi select check box for search results – now easily choose multiple pieces of content for downloading, copying, moving, or deleting.
- Create your own transaction, deal, or war room. No more need to outsource this critical business function. Simply copy documents to the transaction room and add user access to the room. SmartCabinet takes care of the rest including any permissions you set up as well as the business intelligence component of "who is looking at what and who is not."

These are just some of the larger enhancements we have added to your SmartCabinet. We have also added more capabilities to Workflow and to the Batch Check In process resulting in a greater ease of use.
